The short version
Write off an overdue invoice you give up on. Void an invoice that was sent by mistake and has no payment. Both stop reminders. A voided invoice keeps its number.
The difference
| Mark as written off | Void invoice | |
|---|---|---|
| When | The invoice is overdue and you give up collecting | Nothing paid and no credit note |
| Reminders | Stop | Stop |
| Number | Kept | Kept, never reused |
| Customer sees | Written off | Void |
| Money can still arrive | Yes, you can record it | No, nothing is due |
| Counts as invoiced | Yes | No |
Write off is for a debt. Void is for a mistake.
Mark as written off
Open an overdue invoice, select the menu next to the buttons and choose Mark as written off. Confirm with Write off. The message says you give up on collecting it, and that if the money still arrives later you can record it.
The item is only in the menu while the invoice is overdue. Reminders stop at once. The activity adds Written off. If the customer pays later, use Record a payment and the invoice turns Paid.
Void invoice
Choose Void invoice from the same menu, then confirm. The invoice is cancelled and nothing more is due. It keeps its number, which is never used again, so your numbering has no hidden gaps. Your customer is not emailed.
What your customer sees
Their invoice page and PDF show a ribbon: Written off or Void. A voided invoice cannot be paid. Link previews show the same status.
How reports treat them
- A written off invoice still counts as invoiced. It is left out of what you are owed and out of the aging buckets.
- A void invoice is not counted as invoiced and not counted as owed.
- Voiding a booking invoice frees the booking to be invoiced again. Voiding an invoice that holds time entries frees them.
