The short version

Reminders follow your default days around the due date and go out from 9 in the morning your time. Change them for one invoice with Change the reminders. Send a reminder now sends one by hand, once a day.

Automatic reminders

Once an invoice is emailed, Timelydo sends reminders on days you choose, counted from the due date. The default days are:

3 days beforeOn the due date3 days after7 days after14 days after
  • A reminder goes out from 9 in the morning in your time zone.
  • The email carries the PDF and the link to pay.
  • A day that was missed is skipped, never made up. For example if you send an invoice after its first reminder day, that day is simply not used.

Set your defaults for every new invoice in Invoice settings, section Reminders. Reminders can go from 30 days before to 90 days after the due date, up to 8 of them, never two on the same day.

When reminders stop

  • The invoice is paid, voided or written off.
  • It is less than 20 hours since another email about the invoice went to the customer.
  • Your customer has no email address, or has reported the invoice.
  • Reminders are switched off for the invoice.

With a payment plan, each part gets its own reminders.

Change them for one invoice

On the invoice page, the Reminders card shows whether automatic reminders are on, whether the invoice follows your defaults or is set for this invoice, which days were sent, are to come or were skipped, and when the last one went.

1
Select Change the reminders
Switch reminders on or off and add or remove days.
2
Save
The card says Reminders saved and the invoice now has its own plan.
3
Go back anytime
Select Use my defaults and the invoice follows your settings again.

The card appears once the invoice has been emailed. Before that it says reminders start once the invoice is emailed.

Send a reminder now

Select Send a reminder now to chase right away. You can send one a day. If you try again the button is disabled and says so. A reminder sent by hand does not use up a day of the plan. The same stop rules apply.

How the email changes

Where the invoice standsWhat the email says
Before the due dateA friendly note that the invoice is due soon.
Due todayThat it is due today.
Up to 6 days lateThat it is overdue, in a warmer amber style.
7 or more days lateA firmer overdue message.

Every reminder says who it is from, includes the link and the words If you have already paid, ignore this, and has a Report link. Reminders go to the customer's address only, not to billing contacts.

Notices to you

Notices appear in the notification bell:

  • Invoice paid, with the customer, number and amount.
  • Invoice overdue, once per invoice (once per part with a plan).
  • First viewed, the first time your customer opens the invoice. Your own views and link previews in chat apps do not count.
  • A send that failed, for a scheduled invoice that could not go out.
  • Also a repeating draft ready to check, and an estimate accepted or declined.

There is no digest email for these yet.

Q

Why can I not send another reminder now?

You can send one reminder by hand a day. Try again tomorrow.
Q

Can I turn reminders off for one invoice?

Yes. Select Change the reminders on the invoice, switch them off and save.
