The short version

On the Invoices page select From a booking, then pick a booking. The guest becomes the customer, the event becomes one line, and the draft opens in the editor for you to check.

Start from the Invoices page

Open Invoices and select From a booking, next to New invoice. A window called Invoice a booking opens with a list. Use the search box to narrow it by guest or event name.

1
Select From a booking
The list shows each booking with the guest, the event, the date and time, and the price.
2
Pick a booking
Select a row. The window says Making the draft for a moment.
3
Check the draft
The invoice opens in the editor. Change anything you like, then send it as usual.

Which bookings are offered

A booking shows in the list when all of these are true:

  • It is confirmed.
  • It took place in the last six months.
  • It has no invoice yet. A voided invoice does not count, so voiding frees the booking again.
  • The guest did not pay for it online through Timelydo.

The newest bookings come first, and the list holds up to 50. Times are shown in your own time zone, the same as on the invoice. The price column shows the event price, or By the hour when the event has none.

No bookings listed? The window says No bookings to invoice. That means every recent booking is already invoiced, was paid online, or is not confirmed.

What the draft contains

Part of the invoiceWhat it gets
CustomerThe guest of the booking. If you already have an active customer with that email, that customer is used. Otherwise a new customer is made.
LineOne line named after the event, with the date and time under it, for example 21 October 2026, 10:00 to 10:30.
PriceThe event price in its own currency. An event without a price becomes an hourly line with the length of the booking and a rate of 0 for you to fill in.
Service periodThe day of the booking.

Everything else, such as currency, payment terms, notes and look, comes from your usual invoice defaults and the customer. See Invoice editor and autosave.

One invoice per booking

A booking is invoiced once. After you make the draft, the booking leaves the list. If you delete the draft or void the invoice, the booking comes back. A booking that was paid online through Timelydo is never offered, so the guest cannot be charged twice.

What is not possible

  • Putting several bookings into one invoice. Make one draft per booking, or add lines by hand in the editor.
  • A Create invoice action on the booking in the calendar. Use From a booking on the Invoices page.
  • A receipt invoice for a booking the guest paid online.

A booking without a guest cannot be invoiced, because there is no customer to make.

FAQ

Q

Why is my booking not in the list?

It must be confirmed, in the last six months, not invoiced yet and not paid online through Timelydo. Older bookings can still be invoiced by hand with New invoice.
Q

Can I put two bookings in one invoice?

Not yet. Make one draft per booking, or add the second line by hand in the editor.
Q

Can I change the draft?

Yes. It is a normal draft. Change the customer, the line, the price or the dates before you send it.
Q

What happens if I void the invoice?

The booking is offered again in From a booking, so you can make a new draft from it.
