The short version
Open Invoice settings and choose Products and services. Select Add a product or service, fill in the name and price and save. In the editor, choose From your catalog.
Add an item
Select Add a product or service. The form asks for:
| Field | Notes |
|---|---|
| What it is | Product or service, or Hourly work. |
| Name | Required, up to 160 characters. |
| Description | Optional, up to 1,000 characters. Shown under the line on the invoice. |
| Price or Rate per hour | Required. Zero is allowed. |
| Currency | Required. |
| Tax rate | Choose one of your rates, or Your default tax rate. |
Names, limits and prices
- A name must be unique among your active items in the same currency. You can have Logo design in euros and in dollars.
- You can have up to 500 active items.
- A price cannot be more than the invoice limit of 999,999.99 in a currency with two decimals.
Archive, restore and delete
Select Archive on an item you no longer sell. Invoices that used it are not changed. Select Show archived items to see them, and Restore to bring one back. An archived item can be deleted for good. Delete is only offered after archiving.
Adding an item to an invoice
In the editor, under Items, choose From your catalog and search. Only items in the invoice's currency are shown. The item is copied onto a new line with its name, description, price and tax rate. You can still change the line. Nothing on the line points back to the catalog.
Import a CSV
Select Import CSV and choose a file. Columns: name, price, currency, kind (item or hourly), description and tax. Only name is needed. Headers can be in any case.
| Column | Notes |
|---|---|
| name | Required. |
| price | 12.50 or 12,50. Zero is fine. |
| currency | Defaults to your invoice currency. |
| kind | hourly or hour for a rate per hour. Anything else is a product or service. |
| tax | A percent or the name of one of your rates. An unknown one leaves the item without a rate. |
The file can have up to 500 rows and 200,000 bytes. Every good row is added. A bad one is skipped and reported with its line and the reason, for example 3 added, 1 skipped. Fix the file and import again. Rows already in the catalog are skipped as taken.
